Administrative Assistant Executive Secretary

Job Desription

The administrative staff at Fidelity plays a vital role in the company’s success. Those individuals serving in these positions are recognized by their colleagues as key members of their group, department or organizational team. You will deal directly with and provide support to management at all levels of the company. Your excellent communications skills will be constantly put to the test, as well your ability to handle multiple tasks simultaneously as you serve as a focal point of a dynamic, fast-paced business environment.

You will work with other members of the administrative team to consistently provide a high level of administrative support to the High Income Division. As an important member of Fidelity’s High Income Division, you will provide advanced administrative and secretarial support to members of the High Income Division including Portfolio Managers, Traders and Management in the following key functional areas.

Primary Responsibilities:

Coordinate and schedule travel arrangements, including international travel
Calendar management
Coordinate and schedule meetings
Complete Travel & Expense reports
Open, sort and distribute mail
Answer phones and take detailed messages
Assist with data quality checks
Utilize internal resources and applications to gather detailed information in a timely and accurate manner
Gather, print, update and distribute daily/weekly/monthly reports
Order and maintain office supplies
Back-up and assist other Administrative Team members, as needed
Assist with special projects, as needed
Perform other administrative duties, as required

Education and Experience:

A bachelor’s degree strongly preferred
3+ years of relevant experience preferably in a professional services environment

Skills and Knowledge
Highly motivated and proactive individual
Detail-oriented with strong communication and organizational skills
Strong Microsoft Office software knowledge (Outlook, Word, Excel and PowerPoint)
Effective time management skills with ability to prioritize and handle multiple tasks simultaneously
Ability to meet deadlines and work under time constraints and pressure
Willingness to utilize resources to problem solve
Ability to work independently
Strong written and verbal communication skills
Ability to effectively interact with various levels of management within the organization
Able to be trusted with highly confidential material
Flexible and willing to assist with a variety of other duties, as needed
Willingness to back-up peers, team player
