Requests for Proposal (RFP), Requests for Information (RFI) and Consultant Databases are critical components of the Institutional sales process. Plan sponsors and Institutional Investment Consultants use RFPs, RFIs and databases to evaluate investment managers' products as part of their investment manager search process. Therefore, these serve as important sales support tools which directly impact Pyramis' business development model. These tools act as a vehicle by which Pyramis can enhance visibility and market penetration for our products and services.

The Proposal Services Coordinator is charged with responding to RFPs, RFIs, Consultant Questionnaires, Client Due Diligence Questionnaires, and other ad hoc requests. This role will also have a dual responsibility for the internal collection and external delivery of data to Investment Consultants and third-party databases.

As project manager, this individual will be responsible for organizing the appropriate meetings with legal/compliance, the investment product team, and the relationship management team to create project timelines and manage workflow. This person will have a responsibility to highlight potential issues (e.g., investment options, fees, performance) that may impact Pyramis' ability to respond to the proposal. Using content management software (Kadient), and other internal information tools, the Proposal Services Coordinator will respond to RFPs, RFIs and questionnaires, as well as perform quarterly consultant database updates, while ensuring there is input and review by the appropriate subject matter experts.

The Proposal Services Coordinator will be expected to work collaboratively with internal business partners (including Marketing, Systems, Performance, & Product Teams) to ensure the data and content collection process is optimized and that the integrity of the information disseminated via proposals or within a database is consistent across the organization. High quality output is critical to support Pyramis' desire to be a "Best in Class" Institutional Asset Management organization. The coordinator is required to maintain consistency of tone, style and language within and across documents to ensure compliance with company and department policies.

Primary Responsibilities

* Develop high quality responses to prospect, client or consultant generated RFPs, RFIs, and client and consultant due diligence questionnaires for institutional Pyramis Investment Products.

* Research, write, review and finalize accurate, well-written, custom responses to proposal questions which include current plan, operational, and investment statistics, process descriptions, and marketing language. Be accountable for accurately capturing key data and information incorporated into proposals from internal systems and sources; responses may be incorporated as part of a new client's service agreement.

* Maintain consultant databases domestically and overseas and ensure timely and accurate distribution of Pyramis quantitative and qualitative data. Must adhere to strict deadlines set forth by consultants and third-party database vendors.

* Partner with virtually all other Pyramis business groups - these include: Product Management, Sales, Legal & Compliance, Marketing, Finance, Performance and Systems.

* Identify, analyze, and troubleshoot data sourcing and delivery issues; implement process improvements; document current procedures and process enhancements.

* Manage on-going and annual data audits to ensure the accuracy and consistency of product and firm level reporting across internal and external databases.

* Assist with ad hoc reporting projects as needed.

Qualifications

Education and Experience


* Bachelor's degree (major in English, Communications or Business preferred).

* 2-4 years financial services industry experience required.

Skills and Knowledge


* Excellent project management and writing/editing skills.

* Attention to detail is imperative for this role.

* Ability to work independently and prioritize workload.

* Strong interpersonal, organization and project management skills.

* Familiarity w/ institutional defined benefit business preferable.

* Proactive, service-oriented attitude.

* Experience using content management applications a plus.

* Ability to handle confidential information in a sensitive manner.

* Ability to be flexible and work in a continuously changing environment.
